Talia: If your phone rang thirty times this month, how many did you actually answer? And what did it cost you when you missed one?
Billy Jordan Jr.: If you’re running a local business, every missed call is a paycheck you never see. You can’t close a deal you never hear about.
Talia: Okay. That's the episode. Let's get into it.
Talia: Welcome to The BreakPoint Brief, practical conversations about getting found, earning trust, and putting AI to work in a real business. I'm Talia. My job is to ask the questions a busy business owner would ask, and to not let anybody off the hook. Across the table, as always, is the founder of BreakPoint Systems, Billy Jordan Jr.
Billy Jordan Jr.: Glad to be here, Talia.
Talia: Today’s question is simple: when you miss a call from a customer, how much are you really losing—and what should you do about it?
Talia: Billy, let’s start with the bottom line. What does a missed call actually cost a local business?
Billy Jordan Jr.: A missed call is more than just a voicemail. For a local business, it’s often a lost sale, or at least a lost chance. The Irish News recently reported that missed calls have cost local businesses nearly three thousand pounds so far this year. You only feel it when the phone stops ringing.
Talia: Is that typical? Three grand a year, per business?
Billy Jordan Jr.: It depends on your business, your average sale, and how often people call. For some businesses, a missed call could mean missing out on a significant job or a repeat customer. The point is, if you’re not answering, you’re losing. You can look at your own call logs to see how many opportunities you might be missing.
Talia: Okay, but some owners tell me, “My customers will just call back.”
Billy Jordan Jr.: Some might. But you can’t count on it. Many will move on to the next number. One thing you can do right now: check your call logs for missed or abandoned calls. If you see a pattern, that’s something to address.
Talia: And if you’re a solo operator, it’s not like you can answer every call.
Billy Jordan Jr.: Exactly. That’s why you need a plan for what happens when you can’t pick up.
Talia: So, what are the main reasons calls get missed—and what can a business actually do about it?
Billy Jordan Jr.: Most calls get missed because you’re busy serving someone else, or you’re closed, or you just can’t get to the phone. But customers don’t care about your schedule—they just want help. The first fix is making sure calls don’t go to a generic voicemail. If you want to keep the business, you have to give the caller a real next step.
Talia: Let me push back. Isn’t this just about hiring a receptionist?
Billy Jordan Jr.: That’s the old answer. But full-time staff cost money, and even then, people need breaks. A lot of businesses now use an AI receptionist to answer common questions, route calls, and book appointments. iNews reported recently that BT rolled out an AI call-handling service aimed at small firms. It’s not just big companies doing this anymore.
Talia: But does that actually work for a mom-and-pop shop, or is it just for bigger offices?
Billy Jordan Jr.: It works for both. The Jordan Insurance Agency added an AI receptionist and another support person, because calls and quote requests grew. The main thing is to make sure the system can answer real questions—like hours, services, booking—without sounding like a robot.
Talia: So, if I’m a dentist or a contractor, what’s my first move?
Billy Jordan Jr.: Start by mapping out what callers actually ask. Then make sure whoever—or whatever—answers your phone can handle those questions or book an appointment right away.
Talia: All right, you’ve convinced me missed calls are a problem. But I’m busy. What’s the smallest thing someone can do Monday morning to fix this?
Billy Jordan Jr.: You can start by checking your call logs for missed calls and thinking about how you handle them. Make sure your voicemail or phone system gives callers a clear next step, or consider adding a way for people to book online.
